FutureForge (Non-Profit) and Walnut Education Sdn. Bhd. (collectively referred to as "the Organizers", "we", "us", or "our") are committed to protecting the privacy and security of your personal data. This Privacy Policy outlines how we collect, use, and protect the information provided by participants, parents, guardians, and visitors for the FutureForge World Robot League 2026.

COLLECTION OF PERSONAL DATA

We collect personal data that is necessary for the administration of the Event. This includes, but is not limited to:

  • Contact Information: Name, email address, phone number, and mailing address.

  • Participant Details: Age, gender, school name, and school code.

  • Identification Data: IC numbers or Passport numbers (specifically required for PAJSK point submission and insurance purposes).

  • Media Data: Photographs, video recordings, and audio recordings taken during the Event.

  • Technical Data: Team names, robot specifications, and coding submissions.

PURPOSE OF DATA PROCESSING

Your personal data will be processed for the following purposes:

  • To manage and confirm event registration and payments.

  • To facilitate competition logistics and technical communications.

  • To submit student achievement data to the Ministry of Education (MOE) for PAJSK credits.

  • To prepare personalized certificates, lanyards, and merchandise.

  • To provide travel and accommodation recommendations for international delegates.

  • To promote future events via marketing materials, social media, and press releases (Media Data only).

DISCLOSURE OF PERSONAL DATA

We will not sell or rent your data to third parties. However, your data may be shared with:

  • Strategic Partners: Co-organizers like IREA and technical partners for scoring and competition management.

  • Government Authorities: Specifically the Ministry of Education (KPM) and MOSTI for official reporting and accreditation.

  • Service Providers: Third-party vendors such as caterers, insurance providers, or hotel partners where necessary for your participation.

  • Venue Management: Perpustakaan Raja Tun Uda (PPAS) for security and facility management protocols.

DATA SECURITY

The Organizers implement strict technical and organizational security measures to protect your data from unauthorized access, alteration, or disclosure. Physical documents containing personal data are kept in secured storage, and digital data is protected via encrypted servers and restricted access protocols.

DATA RETENTION

Personal data will be retained only as long as necessary to fulfill the purposes outlined in this policy or to comply with legal and audit requirements. Data specifically for PAJSK will be deleted once confirmed as successfully processed by the relevant authorities.

MEDIA CONSENT

By participating in the Event, you acknowledge that the Organizers may capture images or recordings of you. These may be used in our promotional materials. If you wish to opt-out of media coverage, please notify the Operations Team at the registration desk on the first day of the event.

YOUR RIGHTS (ACCESS & CORRECTION)

Under the PDPA 2010, you have the right to:

  • Request access to the personal data we hold about you.

  • Request the correction of any inaccurate or incomplete data.

  • Withdraw your consent for data processing (noting that this may result in disqualification from the competition if the data is essential for participation).
